What Ratios Actually Cost (and Save) Childcare Centers

Understanding the Cost of Childcare Center Ratios

Every state sets its own staff to child ratios, something directors and owners know all too well. What gets talked about far less is how much those ratios determine a center's margin. Ratios represent more than a compliance checkbox, they’re one of the biggest levers a center has over labor cost, and small miscalculations can cause big issues, especially across a full roster of classrooms.

Ratios vary by state, but NAEYC's suggested best practice standards give a useful baseline: 1 staff member for every 4 infants (max class size of 8), 1 to 6 for toddlers (max 12), 1 to 10 for preschool age (max 20), and 1 to 12 for kindergarten age (max 24). Your state's actual licensing requirements may be tighter or looser than this. Kangarootime integrates with KinderConnect to keep up with state and federal compliance.

Age CategoryRatioMaximum Class Size*
Infant (Birth-15 months)1:48
Toddler/Two (12-36 months)1:612

Kindergarten (Enrolled in any public or private kindergarten)1:1224

As an example, consider a classroom slightly below enrollment but still has to be staffed at full ratio. That room loses money every day it stays open at that level, and it's easy for that to hide in plain sight if nobody's looking. On the other end, a center running consistently over capacity in one classroom while another sits half empty is often one staffing reshuffle away from meaningfully better margins, without hiring a single additional teacher.

This is a case where the compliance number and the business number are the same. Most directors just haven't had an easy way to look at them side by side.

What’s Your Number?

Pull your current roster by classroom. For each room, compare actual enrollment against the ratio-driven staffing level it requires. Rooms sitting well under their max group size while fully staffed are where your center might quietly be losing revenue. Rooms bumping up against their max are where you're closest to a compliance risk, or staff burnout, if enrollment ticks up even slightly.

From there, owners and directors can determine the best and most compliant ratios for enrollment, staffing, and growth without the guessing game. Kangarootime Insights can help you plan through "What If" scenarios and can support managers and directors with compliant and profitable staffing solutions.
